Refunds, deposits, and cancelled visits
This note covers money paid to Cognit Vertex Analytics Co., Ltd. for a place study, a map plate, a canal and flood reading, or a parcel comparison. It does not describe shipping of goods, subscriptions, or tickets. Eligibility
You may ask for a refund of money we have received when a commission is cancelled, when we decline to continue because access or records make an honest sheet impossible, or when we miss a material part of the agreed scope and cannot repair it in the included revision. A change of mind after you have accepted the finished sheets at the closing meeting is not, by itself, a ground for a refund of the balance already tied to those sheets.
Timeframe
Write within fourteen days of the event you rely on — the cancellation, the declined continuation, or the closing meeting. We confirm receipt within three working days.
Full refund
You receive the deposit back in full if you cancel in writing at least fourteen days before the first site visit or, for a map plate, before drawing has started, and if we have not yet paid a third party for records on your behalf. You also receive a full refund of sums paid if we cancel because we cannot staff the commission, or if we discover before the first visit that the question is one we should have declined under our own limits.
Partial refund
If work has started, we refund the unused portion of the fee and keep the portion that matches visits already made, drawing days already spent, and the included revision if it has been used. A place study cancelled after the first walk and before plates are inked typically returns the second half and keeps the deposit, because the deposit is sized to that first stage. We state the arithmetic in the refund letter rather than applying a flat percentage that ignores what actually happened.
Non-refundable items
These are not refunded once incurred: a site visit that took place; printed plates already produced for a handover you then decline to attend; official record copies we bought at your request; and translation you asked us to commission from a third party. A map plate fee, once drawing has started, is refundable only for the portion of the caption and revision not yet begun.
Deposits
Place studies, canal readings, and parcel comparisons ask for half before the first visit. A map plate asks for the full fee before drawing. The deposit reserves the weeks on the field book. It is not a tip and not a separate product.
Cancellation and rescheduling
You may move a visit once, without a fee, if you tell us at least five days ahead and the new date falls inside the original span of the commission. Further moves, or a move requested inside five days, may be treated as a cancelled visit. We may also move a visit for weather or for an unsafe bank. That move is not a cancellation by you, and it does not reduce the fee. We send the postponement in writing on the same day.
No-shows
If we attend a site or the studio at the agreed time and you are not there, and you have not written ahead, the visit fee inside the estimate is kept. We wait thirty minutes. A second no-show lets us pause the commission until a new date and, if needed, a revised fee are agreed.
Work already started
Ink, level notes, and a draft finding are work already started even when you have not seen them yet. They are covered by the partial-refund rule above. We will show you the draft so the kept portion is visible, not merely asserted.
Purchased materials
Cotton sheets, printing, and record copies bought for your commission are materials. Unused blank paper is our stock and is not billed as a line you can reclaim. Copies we have already paid a land-record counter to release are listed in the refund letter at cost and are not returned as cash if the paper must stay in the file you asked us to assemble.
Process, timing, and method
Send the request by email with the commission name, the dates, and the amount you believe should return. We reply with a short account of visits and drawing days. Approved refunds are paid to the same bank account or transfer channel that sent the money, within fourteen business days of our written agreement to the amount. If that channel cannot receive a return, we ask for another account in the same name. We do not refund in cash at the door.
